An AI agent is a system that can receive information, make decisions based on predefined instructions, and perform actions automatically. Unlike traditional automation, AI agents can use artificial intelligence models such as ChatGPT to generate personalized responses, recommendations, summaries, and other outputs.
Today, no-code platforms make it possible to create AI agents without programming knowledge, allowing individuals and businesses to automate repetitive tasks quickly.
The AI agent created in this example automates three important tasks:
Collects client information through Google Forms
Generates customised workout plans using ChatGPT
Sends personalised emails automatically through Gmail
Instead of manually reviewing every client response and creating workout recommendations individually, the AI agent performs the entire process automatically.
The workflow uses four commonly available tools.
|
Tool |
Purpose |
|
Google Forms |
Collect user information |
|
Make.com |
Connect and automate workflows |
|
ChatGPT |
Generate personalised workout plans |
|
Gmail |
Deliver customised responses |
Together, these tools create a complete end-to-end AI automation system without requiring any coding.
The AI agent follows a simple workflow:
Open Google Forms in your browser and select the option to start with a blank form.
Change the form title (e.g., "GenZ Fitness Solution").
After creating all necessary form fields, publish the form. This action generates a sharable link for distribution to clients.
Open a new browser tab and navigate to Make.com.
Sign in using your Google account to access the dashboard. New users typically receive free credits.
From the dashboard, select "Scenarios".
You have two options: use an existing template or build from scratch. For this demonstration, we will build from scratch.
Click "Open scenario builder" to access a blank canvas.
On the blank scenario canvas, click the plus icon to add the first module.
Search for "Google Forms" and select it from the app list.
From the Google Forms options, choose "Watch Responses". This module is configured to monitor the form for new submissions.
Create a connection by signing in with the Google account associated with your form.
Enter the Form ID: To find the ID, navigate back to your Google Form. The Form ID is the alphanumeric string located in the URL between "d/" and "/edit". Copy this segment and paste it into Make.com.
Save the module configuration.
Configure when the module should run; for this example, select "From now on" and save.
Open your Google Form using its sharable link.
Fill out all the details in the form with sample data and submit it.
Return to Make.com and click the "Run once" option.
Make.com will retrieve the submitted response. You can inspect the detailed response data, including individual field values like weight, height, and email, by clicking on the response bundle. This confirms the successful collection of form data.
Add a new module by clicking the plus icon on the Make.com canvas.
Search for "ChatGPT" and select the first option.
Choose the option that does not require a paid API key (usually the first one).
Configure the module:
Model: Select the default or preferred model.
Text Prompt: Construct a clear prompt that instructs ChatGPT to generate a customized workout plan based on client information.
Dynamic Data Injection: This is a key customization feature. You can feed Google Form fields dynamically into the ChatGPT prompt. For example, insert the client's age, height, and weight directly from the Google Form data to personalize the plan.
To ensure consistent output, provide a sample format within the prompt for how the workout plan should be structured (e.g., "5-day workout plan with exercises for each day").
Save the ChatGPT module. At this point, two steps of the agent's workflow are complete.
Add a third module by clicking the plus icon.
Search for "Gmail" and select "Send an Email".
Connect your Gmail account.
A form will appear to compose the email, allowing for customization using Google Form data:
To (Email Address): Select the client's email address dynamically from the Google Form data.
Subject: Use dynamic data for personalization (e.g., "Hey [Client Name], Your Workout Plan is Ready!").
Body:
Include additional text for customization.
Crucially, insert the ChatGPT response (the generated workout plan) directly into the email body.
Add a signature (e.g., "Regards, GenZ Fitness Solution").
Save the Gmail module. All three agent steps are now complete.
To perform a full test, submit another new response to your Google Form with random data.
Return to Make.com and click "Run once". The agent will now execute the entire workflow:
Fetch Google Form data.
Pass it to ChatGPT for workout plan generation.
Send a customized email containing the plan.
Verify the email delivery: Check the recipient's inbox for the newly sent email. Confirm that the format and content (including the 5-day plan and client name) match the defined structure.
Save the agent.
To automate the agent, set up a schedule (e.g., run every 15 minutes) using the timer option. This ensures the agent runs automatically without manual intervention.
Building your first AI agent no longer requires coding knowledge. By combining Google Forms, ChatGPT, Gmail, and Make.com, you can automate repetitive tasks, generate personalised outputs, and create practical AI-powered workflows within minutes. Once you understand the basic workflow, the same approach can be expanded for customer support, lead generation, onboarding, content creation, and many other business processes.
